DEPOSIT AND REGISTRATION
A $500 per person non-refundable deposit is required at the time of booking with a completed reservation application. Internet, e-mail, or phone reservations are welcome. A $1,000 additional deposit is due one month from the date of registration. Full payment is due 120 days prior to USA departure date. If a booking is made within 120 days of departure, full payment is required immediately by check overnighted with tracking and tracking number given to customer service by email or phone. PLEASE NOTE: Special events may require earlier balance payments.
FORM OF PAYMENT
Bank/Certified/Personal Checks and Money Orders are accepted forms of payment at any time. Credit Card Payments (American Express, Discover, Visa and MasterCard) are accepted for the $500 non-refundable deposit only. In order to expedite the processing of deposits and final payments, please include either a note or on the check in the memo: the departure date, name, and name of anyone else to whom the check is being applied. Please make sure the name indicated matches the passport name we have for you. Every reservation must be accompanied by a signed application. Returned checks will incur a $50 service fee and only Bank checks will be accepted after a returned check. In case of computer or human billing error, we reserve the right to re-invoice participants with corrected billing.
PRICE GUARANTEE
Rates shown on the website are based upon double or twin occupancy. All prices are shown in U.S. Dollars. Prices cannot be guaranteed for last minute sign-ups due to elevated airline prices. However, we try our best to stay as close as possible to the posted price.
NOT INCLUDED
Items of a personal nature, such as telephone calls, mini bar, laundry, food, beverages or alcohol not included with breakfast or dinner (these extra items will be billed to you before leaving the hotel or restaurant); room service, lunch, and optional activities; trip insurance (optional), portage at airports, excess baggage fees and passport or visa fees. Please refer to your specific itinerary for what is and is not included. Should you be charged for something that WAS included, please submit copy of receipt for reimbursement within 30 days of tour end date.
PASSENGER COMMUNICATION
Upon registering each passenger will receive a welcome packet and communications regarding what paperwork is needed. All paperwork is required to be completed and sent within 10 days of registering. If you have applied for or are renewing a passport and that cannot be sent in within this time frame, please send all other paperwork and then send your passport copy once the new passport is received.
All Mandatory Liability Forms need to have your name as it appears on your passport. If your driver’s license, etc. has your name listed differently do not fill out form using that name; only passport names will be used in the purchase of airline tickets and need to match. All children under the age of 18 at time of travel need the paper form submitted with a parent/guardian signature.
If communicating for another passenger, this MUST be disclosed to us at the time you are doing so, and you accept responsibility to relay information to and for the passenger you are speaking for.
All changes from your original registration such as adding an upgrade, changing an airport departure city, deviations, etc. must be confirmed in writing.
Lack of passenger communication and/or payment after registering may result in cancellation of tour. Several attempts will be made by email and phone by our staff before cancellation. In the event this happens, our staff will send confirmation that you have been canceled based on presumption of no intention to travel. No refunds will be issued in this situation.
PASSPORTS, VISAS, TRAVEL DOCUMENTS
A valid US passport is required for travel for US citizens. If you do not have a valid passport please contact your closest passport office or visit; https://travel.state.gov/passport/passport_1738.html for more information. Passports must be valid at least 6 months after the return date. U.S. or Canadian citizens do not need to obtain visas for most countries Proximo Travel, LLC services. For all other nationalities, please consult the country of travel’s consulate. When and if a visa is required, it is the passenger’s responsibility to obtain one. Cancellations due to lack of appropriate travel documents will incur usual penalties.
FINAL DOCUMENTS
Final documents are issued shortly before your departure date only if final payment and passenger paperwork has been received. Documents are not guaranteed if final payment is not received on time. Upon receipt of your documents, you are responsible to check your itinerary, spelling of your name, dates, times and other important information to ensure their validity. Should your final documents have any errors, it is the passenger’s responsibility to contact Proximo Travel, LLC immediately.
PARTICIPATION
Proximo Travel, LLC and suppliers contracted for services reserve the right to refuse to accept or retain any person whose behavior is deemed likely to affect the smooth operations of a tour, or adversely affect the enjoyment or safety of other passengers. Proximo Travel, LLC, its agents, and suppliers shall be under no liability to any such person for refund, compensation, repatriation or any other matters arising.
CANCELLATIONS AND REFUNDS
Once a deposit or partial/full payment has been received, cancellations need to be communicated in writing. If calling in to cancel by phone for yourself or anyone else an email will be sent by our office to confirm the cancellation immediately. It should be noted that Proximo Travel does not refund any monies paid to date for a tour, regardless of circumstances. Travel Insurance is highly recommended to protect your investment.
No change of names or substitutions is permitted. No refund will be issued due to death or sickness.
If a priest is leading a group and he is unable to go for any personal or pastoral reasons, Proximo Travel will attempt to find a replacement priest but shall not be held responsible in the event a replacement priest is not found. All passengers who signed up with that priest are still obligated to all the terms and conditions of Proximo Travel as if their priest is still traveling.

AIR TRANSPORTATION
Air transportation is in economy class on IATA-approved carriers. Ticketing must be completed no later than 14 days prior to departure. All travel is subject to the airlines terms of carriage. Proximo Travel, LLC is not responsible for any cancellations, loss, delays, injury, illness, or expenses incurred due to actions made by the airlines. For any issues which arise in relation to airline service complaints and compensation should be addressed to the specific carrier.
If a group does not pay their balance on time, Proximo Travel cannot guarantee the flights promised in the contract with that specific group.
AIRPORT TAXES, FEES & FUEL CHARGES
Proximo Travel, LLC does not charge for airport taxes, fees & fuel charges.
SEAT ASSIGNMENT
Random seats are assigned for all group participants by the airlines. If you must have a specific seat, we recommend you to be at the airport at least three hours prior to departure and arrange the seat assignment with your airline’s gate agent. Proximo Travel, LLC can never guarantee specific seats, which are at the discretion of the airline & are pending availability, subject to aircraft/seat map changes.
LAND ONLY
Transfers from and to the airports are NOT included in Land Only costs. If you chose to purchase a Land Only package and arrange your own domestic or international flight independently of us, be advised that Proximo Travel, LLC is not responsible for domestic or international flights or transfers of any kind. Booked or purchased items outside of Proximo Travel, LLC is the sole responsibility of the client. However, if a passenger notifies us they are arriving before or at the same time as the group, they are more than welcome to join the group on the bus to the hotel. Please call the tour guide upon arrival to make sure the rest of the group didn’t experience any delays or changes to their arrival time. If you change your mind from Land Only to having us book your flights and the group’s tickets have already been purchased then additional costs may be added if ticket cost has increased since time of booking.
TRANSFERS
Our programs include group round-trip transfers. Pilgrims or passengers who choose to purchase a trip and deduct $300-$800 from the cost for a land only package, and are arriving or leaving independently must transfer at their own expense. Expenses incurred for transfers due to lateness of flights are at the expense of the passenger and may be claimed for reimbursement from the airlines. No smoking is allowed on motor coach.
HOTEL ACCOMMODATIONS
Hotel accommodations are based on twin-bedded or double rooms. Proximo Travel, LLC reserves the right to substitute similar category hotels without prior notice.
PRIVATE ROOMS and SINGLE SUPPLEMENT
A limited number of single rooms are available (on request basis only) at the supplement price of $900-$1200, depending on tour. We will do our best to assign a roommate to those passengers traveling alone. PLEASE NOTE: Special events may have higher supplements.
MEALS
All trips include two meals per day (breakfast and dinners) which are served at your hotel or local restaurants. Wine is included with dinners on most trips.* In the event that you choose not to have a meal, there is no refund for unused meals. Although we cannot guarantee, we will try and accommodate each special meal request on flights as well as at hotels. Please advise us of such a request at the time of booking. We cannot guarantee that special meal/diet requests can be met. *Please carefully review the terms and conditions for each trip as per the trip website prior to reservation as some trips may not have wine included. Israel and some custom tours do not include wine. Please refer to your tour’s itinerary under what your tour includes and doesn’t include.
BAGGAGE
Each tour participant is permitted to bring one checked suitcase (checked bags not included for Mexico, Canada and US tours), one small carry-on bag (8″ x 14″ x 22″), and one personal item (i.e. purse, laptop case). In general, the airlines permit 1 checked bag weighing up to 50 lbs. (23 kg) and maximum dimensions of 62 in (158 cm) calculated by adding the length + the width + the height of the bag. Please check with your specific airline to verify the size and weight allowances. Proximo Travel, LLC is not responsible for the loss of, theft of, delay, or damage to a participant’s belongings.
RESPONSIBILITY CLAUSE
Proximo Travel, LLC acts as a tour operator. The suppliers providing transportation, sightseeing arrangements and hotel accommodations for the tour program are independent contractors and are not agents or employees of Proximo Travel, LLC. All coupons, receipts and tickets issued are subject to the terms and conditions specified by suppliers. By utilizing the service of the suppliers, you agree that Proximo Travel, LLC will not be liable for any change in flight or itinerary schedule, strikes, delay, acts of governments, fires, riots, theft, pilferage, epidemics, COVID-19 and other pandemics, quarantine, medical or customs regulations, accident, loss, injury, or damage to you or to those traveling with you in connection with any accommodations, transportation or any other services or resulting directly or indirectly from any occurrence or conditions beyond its control, including defects in vehicles, breakdown in equipment, thefts, delay or cancellation of or changes in itinerary for any act, omission, or event during the time you are on board the aircraft. Neither Proximo Travel, LLC and/or agents of the airlines concerned are to be held responsible for the late arrival of passengers at airports or hotels due to inclement weather, nor are they to be held liable for payment or any refund for transfers or unused hotel accommodations or meals occasioned by such late arrivals at the hotels holding rooms as confirmed itineraries. Passengers must bear all such losses or expenses. To guard against unforeseen health or other circumstances, we recommend you purchase an optional Travel Insurance Policy. Though every effort will be made to follow the itinerary, it should be considered as an indication of the tour, rather than a contract of places to be visited. Occasionally local religious holidays, national days, traffic conditions and other events may necessitate changes in the sequence of visits or the missing of certain visits. We will have daily Mass and strive to be in places as indicated. However, sometimes this is not possible as the site may not be available for Mass or itinerary changes are forced upon us. In this case, an alternative site for Mass will be arranged.
SPECIAL MEDICAL CONDITIONS FOR THOSE WHO NEED SPECIAL ASSISTANCE
You must report any disability requiring special attention to Proximo Travel, LLC at the time of registration for any tour. We make every effort to accommodate disabled passengers by reserving for them wheelchair assistance at airports and handicap accessible rooms where available, however, we cannot guarantee and are not responsible for any denial of services by carriers, hotels, restaurants, or other independent suppliers. Be aware that all of our tours are operated outside the U.S. where the Americans with Disabilities Act is not applicable and facilities for disabled individuals are limited. Most transportation services, including the touring motor coaches, are not equipped with wheelchair ramps or lifts. We regret that we cannot provide individual assistance to any tour participant for walking, dining, while in their room, on flight, getting on and off motor coaches and other vehicles, or other personal needs. A qualified and physically able companion(s) must accompany travelers who need special assistance. It is the passenger’s responsibility to arrange for such assistance prior to making their reservations. Motorized scooters are unsuitable and impossible to accommodate. Proximo Travel, LLC is not responsible for any medical condition that occurs prior, during or after the tour. Additionally, airlines are not able to guarantee or provide assistance for disabled travelers including special seating. Pregnancy, Breast-Feeding, and Travel: Pregnant women considering international travel should be advised to evaluate the potential problems associated with international travel as well as the quality of medical care available at the destination and during transit. A pregnant woman is advised to travel with at least one companion; during her pregnancy, her level of comfort may be adversely affected by traveling.
YOUNG TRAVELERS
Travelers who are less than 18 years old on the departure date must be accompanied by an adult. Due to heightened security, many countries have adopted practices to prevent international abductions of children. If a child will be traveling with adults other than the parents or with only one parent, it is recommended that a notarized letter be written by the parents or non-traveling parent granting authorization to travel including the dates of travel. We also suggest that you contact the appropriate consulate and airlines because they may have additional requirements. For the purposes of Proximo Travel, LLC trips, an infant is defined as anyone who is under the age of 24 months for the entire duration of their trip. A child is defined as any one between the ages of 24 months and 10 years for the entire duration of their trip. Liability forms for children who will be under the age of 18 at time of travel cannot be done online as a parent/guardian signature must be given.
SAFETY
Please be aware that during your participation on tours operated by Proximo Travel, LLC, certain risks and dangers may arise beyond our control including, but not limited to, the hazards of traveling in undeveloped areas; travel by boat, train, automobile, aircraft or other means of transportation; the forces of nature, political unrest and accident or illness in remote regions without means of rapid evacuation or medical facilities. Proximo Travel, LLC does not have liability regarding provisions of medical care or the adequacy of any care that may be rendered. Proximo Travel, LLC is not responsible for compensation for cities/sites omitted from the itinerary due to circumstances beyond its control.
SERVICE INQUIRIES AFTER THE TRIP
If upon returning from your trip, you wish to inquire about any services provided, please ensure that all correspondence is received by Proximo Travel, LLC, PO Box 561 Auburn, MA 01501, within 45 days of the tour completion date. This will enable us to make a timely investigation.
TOUR CANCELLATION BY OPERATOR
In case Proximo Travel, LLC cancels due to the lack of passengers, all monies will be refunded to the passengers on that trip should passengers not choose to transfer to a different tour. Should passenger choose to transfer to a different tour, terms will apply to new tour. Proximo Travel, LLC is not responsible and does not assume responsibility for any additional costs or any fees relating to the issuance and /or cancellation of air tickets or other arrangements not made through Proximo Travel, LLC. Cancellations due to state travel advisories and/or state travel warnings, Acts of War, War, Terrorism, Acts of God, Covid-19 or other pandemics, Natural Disaster or any other circumstance outside the control of Proximo Travel, LLC, are not the fault of Proximo Travel, LLC. Great effort will be made to accommodate travelers to another trip or to revise an itinerary, however, cancellation for any of these reasons will not be eligible for refund. If for these reasons customer chooses another tour and that new tour does not materialize, monies will not be eligible for refund.
